Elizabeth is stepping back from regular facilitation duties while starting a new role, prompting discussions about rotating meeting facilitation responsibilities. The community uses TeamUp calendar for scheduling across time zones, with daylight saving time creating coordination challenges. There are broader concerns about community sustainability given recent departures and grant funding situations, including Sloan grants and other funding transitions affecting member participation. ## ๐Ÿ—’๏ธ Notes #### โฑ๏ธ [00:00](https://youtu.be/UEMnevyoBnM?t=0) โ€” [H2] Meeting Opening and Agenda Setup - Key idea: Standard weekly community call format with agenda sharing - Evidence: "It's Tuesday again, March 3rd... if you want to add your name to the agenda" #### โฑ๏ธ [01:20](https://youtu.be/UEMnevyoBnM?t=80) โ€” [H3] New Meeting Minutes System - Key idea: Implemented centralized minutes system with forwarding link - Evidence: "We do have this handy dandy link... takes you to the new minutes which is the same doc" #### โฑ๏ธ [02:45](https://youtu.be/UEMnevyoBnM?t=165) โ€” [H1] Daylight Saving Time Coordination Challenge - Key idea: US daylight saving affects global meeting attendance coordination - Evidence: "Daylight savings is this weekend for the US. Hi everybody. It's Tuesday again,
[00:04] March 3rd, and you're here at the Oh, I
[00:06] still have February 24th. I just
[00:08] realized that it's not February 24th.
[00:10] >> March 3rd. There we go.
[00:14] >> Sorry.
[00:15] Copy paste error. Um, yeah. Glad to see
[00:19] you all here. I'm glad that we didn't
[00:20] have the wrong day or time. Sean and I
[00:24] >> question.
[00:25] We were wondering.
[00:27] >> So, I'm glad y'all came. Um, if you want
[00:29] to add your name to the uh agenda and
[00:31] just tell us your favorite way to
[00:33] exercise. I'm always looking for
[00:35] something fun to do. I keep hoping to
[00:37] get that thing that's going to motivate
[00:38] me to get up at 5:00 a.m. like Matt
[00:40] does. I don't I haven't found that yet.
[00:42] >> You have to go to bed at You have to go
[00:44] to bed at 8. That's the first thing you
[00:46] have to find.
[00:47] >> I don't know if that's going to happen
[00:48] either. So,
[00:52] >> okay. So, obviously, uh, you all found
[00:54] the new minutes. Um, we do have this
[00:57] handy dandy
[00:59] uh link and that takes you to the new
[01:01] minutes which is the same doc and it's
[01:03] going to take you to this kind of index
[01:05] page. It's not very pretty. We can make
[01:07] it prettier. It's fine. Um, but yeah, so
[01:10] that way we can find everything we need
[01:12] and when we change from year to year, we
[01:14] can just change the doc that it is uh
[01:18] forwarding to. So, yay. Thank you,
[01:20] Adrian, wherever you are for that idea
[01:22] and for walking through that with me.
[01:24] So, any questions on that?
[01:33] We also do have this link that does not
[01:35] work yet because I haven't set it up
[01:36] yet. So, it will just be nothing, but it
[01:40] will have a list of all the years. Um,
[01:42] right now we save them all in our Google
[01:44] Drive under the chaos account, but um
[01:46] it, you know, it'd be nice to surface
[01:48] them all in one place. So, that's what
[01:49] we're going to do. And that will then
[01:52] we'll just add, you know, the each year
[01:54] to that dock. Easy peasy.
[01:57] >> Lemon squeezy.
[01:58] >> Lemon squeezy. That's right.
[02:03] Any other any comments? Anything before
[02:05] we move on? It's pretty straightforward,
[02:07] I guess.
[02:11] Okay.
[02:13] Um, the next thing I wanted to actually
[02:15] before I do this, I'm gonna just remind
[02:17] everybody that daylight savings is this
[02:19] weekend for the US. So, it's gonna mess
[02:21] up everybody's schedule
[02:24] throughout the world. This is awesome.
[02:27] Uh, just a reminder, these meetings that
[02:29] are listed here will change for you if
[02:32] you have not observed daylight savings
[02:34] yet or if you're in a place that does
[02:36] not do it at all. They will they will
[02:38] change for you. So just, you know, if
[02:40] you're used to coming here at the same
[02:42] time, um, just maybe double check. So
[02:46] the calendar is correct. So whatever the
[02:48] calendar says is is the source of truth.
[02:51] Um, these folks will not change. So if
[02:54] you're in a place that does change and
[02:56] you're trying to attend any of these,
[02:58] it's going to be different for you.
[03:00] Likewise with the Chaos Asia meeting and
[03:02] package metadata.
[03:05] So yeah, fun times. Anybody
[03:10] have any questions on any of this stuff?
[03:13] Happy to answer what I can.
[03:17] >> So, how big of a for you? How big of a
[03:20] pain is this? I'm just thinking like for
[03:21] the future, you know what I mean? As
[03:23] you're
[03:23] >> Yeah, it's it's really not a pain at all
[03:27] for me. Uh, mostly it's just
[03:28] communicating to folks that don't either
[03:31] either have copied something to their
[03:33] calendar or don't, you know, pay
[03:36] attention or just like on kind of
[03:37] autopilot and just show up at a
[03:39] different time. Um, especially if
[03:41] they're in a place that
[03:42] >> does not follow daylight savings with
[03:44] the US. That's really and and they're
[03:46] attending any of these central meetings.
[03:48] Um, yeah, it's really just that just
[03:51] communicating to folks, but the calendar
[03:53] does it all. Okay.
[03:54] >> Magically. So,
[03:56] >> what about like the Chaos Africa design
[03:59] sync? Like how does it not do those? Is
[04:02] that all just part of the software?
[04:04] >> It is. So, when you set up um u when you
[04:07] set up a new meeting
[04:09] >> um and I have all this documented so no
[04:11] one panic. Um when you set up a new
[04:13] meeting,
[04:14] >> you um need to make sure that the
[04:17] calendar that you're looking at in
[04:18] teamup is based on what time you want it
[04:21] or what time zone you want it to to be
[04:23] with. So if I open up team up team team
[04:25] up I will change the time to be like
[04:28] West Africa time and then I add my event
[04:31] and it thinks that okay this is a
[04:33] meeting that goes on West Africa time.
[04:35] >> Okay.
[04:36] >> So it will change automatically. So
[04:38] that's really the only thing you have to
[04:39] worry about is when you're setting up
[04:41] something new make sure that you're like
[04:44] >> I got like you're a person in that time
[04:46] zone. So you want to make sure Yeah.
[04:49] >> Okay. Okay.
[04:51] we could make and we could make, you
[04:53] know, if if in the future if that's too
[04:54] much uh to worry about, we could
[04:56] certainly do something like, you know,
[04:58] changing everything to UTC or whatever,
[05:00] you know, but
[05:01] >> No, no, no. What you described makes
[05:02] sense. I just I wasn't sure like where
[05:04] that um like identifier is and it sounds
[05:07] like
[05:09] it's when you set the meeting up.
[05:11] >> It is. Yeah. Um, we can look real quick.
[05:14] So, you can see that uh for me if I am
[05:19] in So, I have it set to it. For me, it
[05:22] just was up UTC. That's what I did last
[05:23] time. So, you can change it to whatever
[05:26] time zone you're in. I am in
[05:30] Where am I? I'm in Eastern. Where are
[05:33] you? Eastern.
[05:35] Oh my gosh. Okay, this is Oh, nope. I
[05:38] don't want to be in Arizona.
[05:43] could be nice right now.
[05:44] >> There it is. I know, right? I know. Um,
[05:48] so for me, you'll see that like none of
[05:50] these or the ones that are on um my time
[05:54] don't change, but the ones that are not
[05:58] should change for me.
[06:00] >> Okay.
[06:01] >> Right.
[06:02] >> Okay.
[06:02] >> Maybe. Yeah,
[06:04] >> I gotcha. So, like this one, I don't
[06:07] know why this one's not changing, but
[06:08] the 6 a.m. A cast Africa is now 7 a.m.
[06:13] for me.
[06:16] >> Not sure why this one's not, but yeah.
[06:17] So, you get it. You get it.
[06:20] >> Mhm.
[06:21] >> Okay.
[06:23] Any other questions about the time
[06:26] stuff?
[06:30] I will also say that I hate daylight
[06:32] saving. However, this year it happens on
[06:36] my birthday. So, I get an extra hour on
[06:38] my birthday. So, I will allow it one
[06:40] more year so that I can have an extra
[06:42] year on my birthday.
[06:44] >> Excuse me.
[06:44] >> You lose an hour, don't
[06:47] >> we lose?
[06:47] >> Oh, no. It's back in the fall. It's in
[06:49] the fall.
[06:50] >> Oh, okay.
[06:51] >> So, it's a it's a fall back. Yeah. Not
[06:53] not this. Not Not right now. I don't
[06:55] want it in in Yeah.
[06:59] Okay.
[07:00] Um All right. So, the next thing on this
[07:03] is I just wanted to bring this up since
[07:05] I am kind of phasing out my engagement
[07:08] and involvement and chaos somewhat uh
[07:10] over the next few weeks until I kind of
[07:13] find a a um what's the word I want.
[07:16] >> A good balance.
[07:18] >> A what?
[07:19] >> Rhythm.
[07:20] >> A rhythm. Yeah, there you go. Um just
[07:22] kind of a you know because I did start
[07:24] my other gig as well. So, this month is
[07:26] kind of crazy for me and it's kind of
[07:28] like transitioning out of one into
[07:30] something else. So, um I wanted to see
[07:33] what we thought about
[07:36] um rotating facilitators for this
[07:38] meeting in particular.
[07:42] >> I think it's a good idea
[07:44] unless somebody wants to take it over,
[07:46] but um it's probably better to rotate
[07:48] it. I think
[07:51] >> we used to rotate. Do you remember the
[07:53] DEI meeting?
[07:54] >> Mhm. We used to rotate that like weekly.
[07:57] That was Kayorg's idea. It worked pretty
[07:59] well.
[08:02] >> And so with um with rotating, is it does
[08:06] it include coming up with the agenda as
[08:08] well? What are the expectations?
[08:11] >> Yeah. Yeah. So, good question. We have a
[08:14] guide here that we wrote a long time
[08:16] ago. Um I guess I haven't read it, so I
[08:19] don't know if it's still up to date.
[08:22] >> We can do that. But I think it pretty
[08:25] much is. It basically just says, you
[08:27] know, um find the agenda doc, copy
[08:32] the agenda list of attendees from the
[08:33] last meeting and put it at the top. Um
[08:37] it is an open agenda, so it's kind of
[08:41] yes, you can think of things to put on
[08:42] there, but it's doesn't have to just be
[08:44] you. You can make sure that people know
[08:47] and actually would appreciate other
[08:48] other people putting things on the
[08:50] agenda. Um, and then also there's also
[08:53] like if there were things from last time
[08:55] that we wanted to keep talking about,
[08:57] you could put that on there. Um, and
[08:59] then we had done this for the DEI
[09:02] meeting so that you could, you know,
[09:03] pick the next facilitator to put that on
[09:06] the agenda so you didn't forget. Um,
[09:10] yeah.
[09:15] So, um, the only question I had is if we
[09:18] if we do want to do this, uh, awesome.
[09:20] Uh the there's two options really. We
[09:23] can do it week to week if we like or we
[09:25] can do like have a a sign up sheet like
[09:28] with you know a spreadsheet or something
[09:31] that just says I'm going to do it on
[09:32] this day, this person's going to do it
[09:34] on that day. So you could volunteer in
[09:36] the future. But that's also uh something
[09:39] else that somebody needs to keep track
[09:41] of.
[09:43] So the easiest way is to just pick from
[09:45] week to week. But it also kind of limits
[09:48] who can be the facilitator for the next
[09:51] week I think because it's just
[09:54] >> been at the previous meeting, right?
[09:55] >> Yeah.
[09:56] >> Yeah.
[09:59] >> Suppose the only thing that's going
[10:00] through my head right now is like week
[10:02] to week
[10:05] um versus like asking somebody to do it
[10:07] for like a month,
[10:10] >> you know? So just a little bit of
[10:11] continuity.
[10:13] I I don't know what is better. That was
[10:15] just something that came to my mind.
[10:17] >> Yeah, I mean that's certainly another
[10:19] option for sure. And then they kind of
[10:21] know that they're um you know kind of on
[10:24] the hook for those few meetings.
[10:25] >> Right. Right. Right.
[10:30] >> I'm trying to remember when we did it in
[10:32] the DEI meeting like if we had
[10:35] a period of time where like we had to
[10:38] like get back into the rhythm, you know,
[10:41] like what did what did Elizabeth talk
[10:43] about last week? Yeah. Yeah.
[10:46] >> True
[10:47] >> kind of thing.
[10:48] >> True. True.
[10:52] So we can do it week two
[10:55] week. We can do it
[10:59] sheet.
[11:00] >> Yeah.
[11:02] >> Or we can do it for a month.
[11:10] I think week to week is the lowest
[11:13] uh lift for people,
[11:17] but limits.
[11:25] And the signup sheet is like one extra
[11:28] step someone has to maintain,
[11:32] but it opens up
[11:35] all opportunity
[11:37] for flips.
[11:39] And then the month at a time is best for
[11:42] consistency,
[11:44] but it is a little more to ask.
[11:49] >> And honestly, maybe just put it out on
[11:52] at this point just put it out on general
[11:54] and just say, does anybody have an
[11:55] interest at this point?
[11:57] >> Yeah. Okay. in, you know, being the
[12:00] facilitator, which includes setting the
[12:03] agenda, you know, putting a reminder in
[12:05] Slack,
[12:09] asking for agenda items, whatever it
[12:10] might be.
[12:11] >> Yeah.
[12:12] >> Um because there might be people who are
[12:14] like, I I don't know, I'd love to do
[12:16] that.
[12:17] >> Yeah, for sure.
[12:18] >> For an extended period of time.
[12:21] >> Yeah, for sure. Definitely.
[12:25] Is there anybody on the call today that
[12:27] wants to do it next week?
[12:30] Totally fine if not because I know
[12:31] that's kind of throwing this at y'all.
[12:34] I don't want to put you on the spot.
[12:42] Don't everybody volunteer once?
[12:46] >> Totally fine.
[12:48] >> I mean, I can volunteer for next week,
[12:49] Elizabeth.
[12:52] It's just a oneweek commitment as long
[12:54] as somebody volunteers at the end of
[12:56] next meeting.
[12:58] >> Yeah.
[12:58] >> So, you have to if you can't find
[13:00] somebody, then you just keep going.
[13:02] >> Right. That's the that's that is the
[13:04] trap I will not be able to fall into.
[13:07] >> That's the strategy.
[13:08] >> Someone's going to have to step up.
[13:16] >> Okay. Well, we'll try that. Sean. Um, I
[13:20] will post this on uh general. That's a
[13:22] really good idea. Um, just make a note
[13:25] here.
[13:28] Action item for Elizabeth. Uh, post on
[13:31] general
[13:34] or tears. Okay, great.
[13:41] Does anybody have other
[13:44] thoughts about this?
[13:48] I mean, it's not without precedent in
[13:50] chaos, but it also is kind of without
[13:52] precedent for this meeting in
[13:54] particular. So,
[13:58] >> I have like a related topic, but there's
[14:00] a chance that the topic might not want
[14:02] the recording to be on for, but I feel
[14:04] like there's a bit of an elephant in the
[14:06] room of like between this like the Sloan
[14:08] grants. I don't know what the status is
[14:10] of people getting like Sloan grants and
[14:14] the burgersia of it all as well of there
[14:17] seems to be a lot of exodus from the
[14:20] community right now and trying to make
[14:23] sure that we can balance that out. Um
[14:27] it's this is one of I would assume many
[14:30] things that will be coming in the near
[14:32] future of passing off of
[14:34] responsibilities and things and so I
[14:37] don't know if that's something we want
[14:38] to talk about on recording or not.
[14:42] I
[14:42] >> I'm happy to just stop so we can have a
[14:44] a candid conversation and nobody feels
[14:46] weird. Yeah, let's just do that. ๐Ÿ“„ **Full text:** ![[Full Document Contents/Articles/CHAOSS Weekly Community Call, March 3, 2026.md|CHAOSS Weekly Community Call, March 3, 2026 by YouTube]] ## Highlights - >> And so with um with rotating, is it does it include coming up with the agenda as well? What are the expectations? >> Yeah. Yeah. So, good question. We have a guide here that we wrote a long time ago. Um I guess I haven't read it, so I don't know if it's still up to date. >> We can do that. But I think it pretty much is.
