## 📝 Summary:
This walkthrough introduces the **Project Estimator tool in Notion**, designed to bring consistency and clarity to project pricing. The tool leverages **line items, asset types, and modifiers** (design, copywriting, dynamic data, and complexity) to generate project estimates. By standardizing pricing while leaving room for human judgment, it helps web professionals avoid undercharging and ensures clients receive fair and transparent quotes.
---
## 📖 Main Content:
The **Notion Project Estimator** provides a structured way to calculate website project costs. The presenter emphasizes that while no calculator can account for every project nuance, using a consistent anchor point for estimates leads to more predictable outcomes.
The process involves:
- Duplicating the template to preserve an original copy.
- Customizing asset categories (small/medium/large pages, theme setup, etc.).
- Applying multipliers for design (templated, client-provided, or custom), copywriting (client-provided, collaborative, or professional), and dynamic data.
- Adjusting complexity (low, medium, high, extreme) to account for project difficulty.
The walkthrough demonstrates how line-item entries accumulate into a full project estimate, illustrating how pricing scales with modifiers. The tool is both **educational and practical**, encouraging users to refine pricing against past projects and market norms.

## 🗣️ Paraphrase:
1. *Original*: “No calculator will do all the work for you… but by starting at the same place every time I end up with more consistent quotes.”
*Paraphrase*: A calculator cannot replace expertise, but using a shared starting point ensures predictable and fairer pricing across projects.
2. *Original*: “Complexity modifiers… drastically affect pricing from medium (50%) up to extreme (175%).”
*Paraphrase*: The complexity setting significantly shifts costs, letting professionals scale pricing appropriately for simple or highly demanding projects.

hello and welcome to the walkthrough video for the project estimator here inside of notion I want to take just a few minutes to walk you through how this works so you can be set up for success and start using this tool right away now before we start talking about the nuts and bolts I think it's important to remember that no calculator is going to do all the work for you if you've been building websites for a while you know that there are all kinds of different variables that can go into a project and there are a lot of different things to account for so many that you could never pack them all into a calculator however I found in my agency that it's great to
have this tool as an anchor for my projects what I mean by that is I can start pricing every Project based off what comes in this calculator of course then I can use a combination of my expertise and my experience to adjust that price to fit accordingly to the project at hand but by starting at the same place every time I end up with more consistent quotes and I'm far less likely to underprice a project which is extremely important now after you open up the project estimator from the link I provided you and make a copy Cy you'll
have a copy of it here inside of your notion account I would encourage you to leave the original copy alone and always have this as a backup in case you need to start over there are lots of things you're going to need to adjust to account for your pricing in your market so it's nice to have this original copy to fall back to if you ever need to start over again to make a copy we'll just hover over here we'll click these three dots and we'll click duplicate now to take just a second for a notion to make a copy of it and then we can click on it and start doing our modifications here I'm just going to change this from
original to working copy just to keep myself organized now you can see this comes with a bunch of demo data already loaded this is just give you an idea of what this looks like as you start putting together an estimate for the purposes of this video we're going to delete all of this here in a second and start from scratch but what we have here is essentially each line item for your project the asset type that corresponds with which we'll talk about here in a second the quantity needed modifiers for design copywriting Dynam Dynamic data
and complexity once you fill all those in the calculations are going to give you a total for each line item and then a sum down here at the bottom for everything added together now let's talk about how it comes up with all this pricing here inside this pricing options toggle you have Pages for each one of these different columns inside of the database here inside assets you can see I've already pre-loaded a bunch of different common assets you might need for a website project now for my purposes and what works well in my agency is to look at Pages as like small
medium large I can't charge the same for a huge homepage that I would a small thank you page so this helps account for the different sizes of pages and you can see I've included descriptions for all these just to give you some idea of what I was thinking about on all these now I've loaded a bunch in here but you can always add more assets by just clicking the new button giving it a name giving it a price and filling in a description we'll go ahead and delete that for now and we'll go back into our project estimator and talk about the other
pricing options the next one is design and inside of my agency I have three different options for design either the client provides me a finished design in something like figma or XD and I don't charge extra for that the next option is templated this is for when we're working off a pre-made template or if we're duplicating an existing page on their website and using that as a template that's a 0.25 multiplier or if we're going to do custom design that's a one time multiplier we'll go back in here and take a look at the rest of these we
have the same options for copywriting either client provided collaboration or professional copywriting for dynamic data we have no Dynamic content standard Dynamic content or customized Dynamic content and you can see all the descriptions that go along with that as well and finally we have the complexity multiplier now we know every project isn't the same and sometimes we have really easy projects to put together and sometimes we have extremely difficult ones this complexity modifier helps to account for those kinds of things by adding everything
together first and then applying a multiplier we have the low complexity which it will default to which is zero modifier 50% for medium complexity 100% for high complexity or 175% for extreme complexity now as we go through a demo of this project you'll see how drastically this can affect the pricing so we go back in here into the project estimator tool I'm going to delete out all these line items I've already put in and we'll start from scratch the first thing I include in every project is a
theme setup so we'll go ahead and type in theme setup and we already have that created as an asset type here under theme setup we only need one of these and the different modifiers don't apply to this so you can see it's already totaling to the $750 which is the price we've set up here for the theme setup inside of our assets pricing page next we'll go ahead and add a homepage for this one we're going to say that this is a large page and we have one quantity now if we we scroll over
here to the pricing we can see that by default this is $300 this is just pulling in from that asset price for one large page but let's keep an eye on that pricing as we add these different modifiers so here under design we're going to actually change this to a custom design and because of that multiplier the price has gone from 300 to 600 I'm charging 300 for developing the Page Plus another 300 for custom designing as far as copywriting we're going to do a collaborative experience with the client where they provide us some copy we help them edit it and get
it ready for the web so we'll choose collaboration as far as Dynamic data this will just be standard Dynamic data that comes along with our page builder so we'll select standard and as far as complexity for this project we'll say it's a low complexity which is just a zero multiplier which doesn't add anything to the price let's go ahead and set up the about page this page is going to be a medium page we'll just have one quantity and we're going to be using a templated design not a completely custom
design for this page as far as copywriting we're going to again choose collaboration there's no Dynamic data now before we get to the complexity here you can see that this page is coming out to $450 but let's see how the different complexity modifiers can affect that if we go here to the medium complexity it goes up to 550 if we choose High it goes to 650 and if we choose extreme it goes all the way to 800 so this is a good way to just bump up price of things that you feel
like the calculator is a little bit low on now you're going to want to go through your entire project and include a line item for everything you need to set up again we have all the assets built in here and you're going to have to add more depending on what kind of deliverables you offer to your clients you're going to have to go through all the different things you offer to your clients and make sure that they're all included here in the assets we'll go ahead and go back out of here now we'll keep going through this process until you've accounted for every single asset inside of your estimate and here on the right hand side side you'll see the sum
or the total for all of your line items added together now this is where you got to use your critical thinking skills to say hey this seems really expensive or this seems really low now as you first start using this calculator these prices might be wildly different than what you're used to charging that could be higher or lower I've just loaded some demo pricing in here and this isn't adjusted for the types of clients you work with or the economy you work within so you're going to have to go through here and adjust these prices accordingly now one way you might want to do this is
just go inside the project estimator and fill in a past project you've done and then go back and adjust the pricing assets to end up somewhere in the ballpark of what you charged before that will just kind of prime this calculator for the types of prices you're charging I would probably go through this process two or three times just to make sure that it's always coming out fairly accurate to what you'd like to be charging of course I've made this point many times throughout this demo you're going to have to adjust this on every Project based on your own experience and expertise by using the project estimator
tool at the start of every project I found my pricing to be a lot more consistent and I'm less likely to undercharge for project which is something we'd all like to do, Project Estimator Walkthrough, The Admin Bar, 01j6w6nz6vg1eegk1skd7xats4.
